The question almost always arrives after a meeting where someone said "we should put RFID on this." And the right answer almost always starts with another question: what problem are you actually trying to solve?
What each one does
Barcode. A printed label read optically. It needs line of sight — the reader has to see the label — and is read one at a time.
RFID. A tag with a chip that responds over radio frequency. It needs no line of sight and allows many tags to be read simultaneously, even inside a closed carton or as a full pallet passes through a reading portal.

The four deciding variables
1. How many reads your operation performs
The dominant variable. If an operator scans 300 times per shift, barcodes work fine. If they have to scan 3,000 units to count an aisle, accumulated time becomes the bottleneck — and that is where RFID pays.
The practical way to assess it: count how many seconds of scanning your process contains per day. If that figure starts to resemble a full shift, you have a case.
2. Unit value of the product
The cost of an RFID tag is irrelevant against an aerospace component and prohibitive against a bottle of soda. The unwritten rule: if the tag costs a visible percentage of the product, it does not apply at unit level.
A frequent middle ground: RFID at pallet level and barcodes at piece level. You get bulk reading where it matters without paying a tag per unit.
3. The physical environment
RFID works on radio frequency, and radio frequency does not get along with two things very common in a warehouse: metal and liquids. Steel racking, canned product, liquid containers — all degrade read reliability.
It is not an absolute blocker, but it raises cost: you need specific tags and antennas, and on-site testing before committing.
4. What you will do with the data
The most overlooked one. Neither technology is worth anything if the data does not land in a system that directs the operation.
A reader connected to a spreadsheet is not traceability: it is data entry. What turns a read into control is the WMS that validates every movement against what was expected and tells the operator what to do next.
The most expensive mistake
Buying RFID to fix a process problem.
If your counts do not reconcile because locations are undefined, because nobody records movements, or because each operator puts things wherever is convenient, RFID will give you the same wrong information — only faster and with more apparent precision.
The correct order is: first defined locations and a directed process; then, if read volume justifies it, the technology that accelerates them.
The honest recommendation
Most warehouses do not need RFID. They need well-defined locations, a system that directs picking, and scan validation at every step. With that in place, barcodes deliver 90% of the benefit at a fraction of the cost.
RFID wins when read volume is so high that unit scanning becomes the bottleneck, or when you need to count inventory without touching the goods.
